Promotion:
Just as we have done in the past, we will be having extensive advertising campaigns in conjunction with our Sponsors, PLUS press releases, banners, flyers and advertisements in selected national caravan, camping and 4WD magazines. This will be accompanied with other country radio campaigns, plus complimentary ticket give-away promotions.
Stand Selection:
ALL SHOWS - Exhibitors who attended the 2009 Shows have first preference on their site for 2010. Stands are allocated to participants by negotiation with the Organisers who reserve the right to alter allocations when necessary.
TO BOOK YOUR SITE a 25% deposit is required. Deposits are non-refundable or transferable (unless the Show is cancelled by the Organisers).
INDOOR sites are numbered and supplied with free standing partitions. Partitions are hollow, accept thumb tacks and are velcro compatible.
OUTDOOR sites are numbered, marked level and grassed (unless indicated otherwise).
Site Area:
Please be aware that all your display must fit inside allocated site. ie. 10m x 10m site does not allow for a 10m x 10m tent as pegs and guide ropes will go over allocated site area. Tents must fit inside allocated area including pegs and guide ropes.
Piggy Backing / Site Sharing:
No piggy backing or site sharing is allowed at the Show/s. This means unless products/ services are retailed by the site holder on a continuous basis they are not allowed to be displayed. If in any doubt, please contact the Organisers.
Electricity:
10 amp 240V power is available on selected sites at each show.
PLEASE NOTE:
- Electricity order form to be completed
- All extension leads/power boards must be tagged by a qualified person
- Participants are required to supply own leads ie. outside 10m / inside 3m
- No 15 amp power outlets are provided
- If you plug in an additional appliance and create a problem you will be charged the service fee
- Low voltage lighting only
- No power when run off generator is available at night
Equipment:
No second hand vans or machinery are allowed to be exhibited or displayed for sale at the shows. All equipment on display must have all necessary compliance plates - manufacturers, gas, electricity etc.
Hire Equipment:
To order your hire equipment requirements please contact the Organisers for the preferred supplier at each show. A list of suppliers will be included with statement for each show.
Night Care Taker:
A night care taker is on duty each night from 5pm till 8.00am - Wednesday to Sunday night at each of our Shows. All exhibitors are requested not to leave their site unattended during the Show, for the safety of the general public and your stock.
4WD Demo Tracks:
The Demo Tracks are available to exhibitors to use throughout the Show.
This usage will be co-ordinated by the relevant 4WD Club - please contact the Organiser for details.
The Demo Tracks will be used to educate the public in all aspects of off-road activities and safety plus promote product from exhibitors.
Show Hours:
The Shows are open to the public from 9.00am to 5.00pm daily.
NO EXHIBITOR IS ALLOWED TO DISMANTLE THEIR DISPLAY PRIOR TO 5.00PM SUNDAY. If you leave prior to the indicated time you risk not being able to attend further events. Your Site Application is a signed contract committing you to the full three days at each event.
Passes:
- Exhibitor Passes
- Collected with kit at site office
- 4 x Exhibitor passes for 1st site
- 2 x Exhibitor passes for each additional site
- If you require more, than you will need to order and pay for them
- All staff require a pass
- One Day Passes
- Need to be pre-ordered and paid for
- Will be collected at the entrance gate
Insurance:
Public Risk Insurance must be taken out by each participant to cover the period of the Show involved, including set-up and dismantle. The Organisers will not accept any responsibility for damages or loss to any equipment/ stock brought onto the Show's venue. Also please note that the Organiser will not accept any responsibility for any injury or accident to any participant or agent/s of the participant at the Show.
Conduct of Participants:
- Exhibitors must ensure their stand is open to view and staffed by well presented and competent representatives during the open hours of each Show.
- Exhibitors may only display retail products and hand out pamphlets etc on their contracted space (see also Piggy-backing / Site Sharing).
- The use of videos, TV, and microphones may be permitted. However, sound levels MUST NOT disrupt other exhibitors. The Organisers reserve the right to terminate the use of such equipment at their absolute discretion.
Aims of the Show:
We would appreciate if all exhibitors attending the Show/s participate in the spirit of good will. We aim to provide the following:-
- a pleasant and positive atmosphere
- harmonious working relationships
- encourage competition and fair trading amongst exhibitors
- an opportunity to network with other people within the industry; and
- an event that avoids detrimental comparisons amongst exhibitors.
Special Request:
All participants undertake to repair and make good any damage to the exhibit space allocated. All sites must be dismantled and removed from Show/s by 5pm on the Monday following the Show.

Terms and Conditions
- A 25% deposit of the total costs must be paid to Rural Scene Promotions Pty Ltd with each Site Application Form. The balance must be paid by respective due dates. Failure to comply with this requirement may result in site/s being re-allocated without further notice.
- Sites will be allocated at the discretion of the Organiser when deposit is received. Site preferences will be considered and every endeavour made to satisfy such preferences. No guarantee can be given that the site requested will be provided. The Site Application Form with the Terms & Conditions herewith shall when accepted by Rural Scene Promotions Pty Ltd form the contract between the participant and the Organiser. The participant agrees to exhibit for the duration of the Caravan, Camping, 4WD, Fish & Boat Shows.
- All property of the participant is brought onto the Caravan, Camping, 4WD, Fish & Boat Shows venues at the risk of the participant and the participant hereby agrees to indemnify and hold indemnified Rural Scene Promotions Pty Ltd against any action, claim, demand, cost or expense. All property must be removed from the venue no later than 5.00pm on the Monday following the Caravan, Camping, 4WD, Fish & Boat Shows.
- It is essential that all participants have public liability insurance. The Organisers will not accept any responsibility for any injury or accident to any participant or agents of the participant/s. Public risk insurance is to cover visitors to the Caravan, Camping, 4WD, Fish & Boat Shows only.
- Participants are responsible for the condition of the space covered by the Site Application Form during the currency of each Caravan, Camping, 4WD, Fish & Boat Show. Any damage will be the participants responsibility. Any costs associated will be passed on to the participant.
- Participants are advised that deposits are nonrefundable and non-transferable.
- In the Contract, unless the context requires otherwise; - the 'Organiser' where appearing shall include Rural Scene Promotions Pty Ltd, their servants and agents. -the 'Participant' wherever appearing shall include the company, person or persons, specified on the Site Application Form as Participants, their servants and agents. - when two or more persons are parties to this agreement and the Terms and Conditions herein contained shall bind them jointly and each of them separately and each of their respective executors, administrators and assignees and when a company is a party hereto the Terms and Conditions on its part herein shall bind the Company, its successors and assigners.
